Maintenance Administrative Assistant (1st Shift)

The Maintenance Administrative Assistant will assist the Maintenance Manager and the Maintenance Technicians with the daily operating functions pertaining to maintenance of the plant. The Maintenance Administrative Assistant will maintain inventory, purchasing, compile reports, and ensure vendors are in compliance with Land O’Lakes preferred listing. The Maintenance Administrative Assistant will work closely with Maintenance Manager and Maintenance Planner to ensure all supplies and/or projects are completed.

Shift: 1st Shift; 7:00 am - 4:30 pm with potential overtime and weekends.

Pay: $25.92/hr

Essential Functions:

  • Assist Maintenance Manager and Maintenance Planner with inventory and purchasing.

  • Purchase all indirect buying for the Turlock Maintenance Department.

  • Maintain inventory of all purchasing of all maintenance required repair supplies.

  • Set up the minimum and maximum trigger points, based off historical usage data for expendable maintenance parts.

  • Maintaining an expendable resupply list for our preferred vendors

  • Submit monthly reports to Division Controller and Corporate Finance of company total on hand inventory, inbound/repair parts/ equipment.

  • Identify all repair parts for maintenance and submit list for the JD Edwards E-1 implementation.

  • Coordination with Maintenance Planner and engineering group for purchase orders on our capital projects

  • Maintain ordering details on budget spending each year on the capital projects.

  • Works closely with Maintenance Manager, Maintenance Planner, and PSM Manager to make sure all projects get closed by year end.

  • Coordinate and assist in Scheduling manager, technician, and contractors on down day projects. Meet with Maintenance Manager, PSM Manager and Maintenance Planner to ensure department budgets are kept within 4-wall budget requirements.

  • Attend first shift and second shift (as needed) Daily Production Meetings to assist with maintenance support and report back to manager with meeting inquiries.

  • Discuss on a daily repair part orders with maintenance department.

  • Assist with daily operational support while Maintenance Manager or Maintenance Planner is unavailable.

  • Assist with the alignment between QA and Maintenance functions for SQF and other quality needs

  • Ensure all paperwork and forms are filled out correctly and audit ready

  • Ensure all safety related PMs are completed in a timely manner per policy

  • Assist with determining scope of major repairs on equipment for maximum efficiency

  • Compare pricing within corporate vendors to minimize spending.

  • Assist the Maintenance Manager in maintenance team KPI reporting.

  • Assist Maintenance Planner with Daily Cycle Counts for designated part bins, inventory adjustments, inventory by item reports.

  • Identify and cost out critical control parts.

  • Plan and schedule Daily Work Orders, ID and plan preventative maintenance schedule and extract Plant Management Inventory as needed with Maintenance Planner as needed.

  • Assist with scheduling of department employees, as needed.

  • Partner with the Production Planner to ensure maintenance activities are scheduled.

  • Understanding and facilitates PSM support.

  • Assist with calling security vendor for alarm resets during testing of sprinklers, fire, and ammonia.

  • Data entry of information for reports, data analyzes, etc.

  • Filing of all documentation, to include purchase orders, PM reports, etc.

Required Qualifications & Experiences

  • High School degree or GED required.

  • Minimum of 1 year experience with administrative, Inventory, and Warehouse work.

  • Strong and developed people leadership skill, with the ability in developing high performing, cohesive, and overachieving team.

  • Proficiency in computer and software use, including Microsoft Suite.

  • This role will require a valid driver license to drive a company vehicle

Physical Demands

  • Will need to be able to work in a hot environment where temperatures can vary from 58° to 105°

degrees.

  • Will need to be available to work Overtime, Weekends including Saturday and Sunday based on

production needs.
